Five freight and customs traps on a first China shipment that catch experienced procurement teams

First-time China shipments trip up experienced procurement teams on a consistent set of issues. None of them are obscure. Most of them are documented in someone else's project lessons learned file that never got circulated.
Trap 1 — HS code mismatch
The commercial invoice and packing list do not match the HS code your freight forwarder files. This is the most common customs clearance delay. It happens because the exporter's commercial team describes the goods in general terms, the forwarder applies a broad HS code, and the destination customs authority queries the discrepancy. Resolve this before the cargo moves: agree the HS code with your forwarder before the commercial invoice is issued, and confirm the exporter uses the same description.
Trap 2 — Hazardous goods classification
Hazardous goods classification is not identified until port arrival. Equipment containing hydraulic oils, refrigerants, or battery packs has IMDG code requirements. If these are not declared on the booking, the shipping line can refuse the cargo at origin or hold it at destination.
Trap 3 — L/C document discrepancies
L/C discrepancies are the leading cause of delayed payment release on first-time L/C transactions with Chinese exporters. The commonest discrepancies: bill of lading date outside the shipment window, description of goods on the invoice not verbatim from the L/C, and missing certificates specified in the L/C conditions.
Trap 4 — Destination import permit not obtained
Some industrial equipment categories (pressure vessels, electrical apparatus, certain chemicals) require import permits in SE Asia, MENA, and African markets (KEBS in Kenya, SONCAP in Nigeria, SASO in Saudi Arabia, TISI in Thailand). The time to find out is before the cargo ships.
Trap 5 — DDP without actual destination capability
Delivered Duty Paid (DDP) terms agreed with a Chinese supplier who has no actual capability to clear goods in your country. DDP is a term, not a guarantee. Confirm who their nominated customs broker is at destination before you accept DDP terms.
